Bookings and Attendance

Places must be booked in advance.

Spaces are limited and allocated on a first come, first served basis.

If you can no longer attend, please cancel your booking as early as possible to allow another child to attend.

Missed sessions are non-refundable unless cancelled by Strong Roots.

Parent / Guardian Responsibility

Children must be collected promptly at the end of the session.

Children must be able to use the toilet independently, as staff are unable to provide intimate care or nappy changing. 

Strong Roots reserves the right to contact parents or guardians to collect children early where necessary for welfare, behavioural or medical reasons.

For the Love Rugby Workshops:

Parents and guardians are required to remain nearby and contactable throughout the workshop session.

Medical Information and Additional Needs

Parents and guardians must provide accurate medical, allergy and emergency contact information at the time of booking.

Strong Roots staff are unable to administer routine medication during sessions.

Parents and guardians must contact Strong Roots in advance if their child may require emergency medication such as an inhaler or adrenaline auto injector during a session.

Parents and guardians must provide any SEND, behavioural, sensory, communication or additional support needs to help us provide the best possible experience for all children.

Parents and guardians must inform Strong Roots of any changes to medical, emergency contact or support information before the session takes place by emailing strongrootsgroup@gmail.com

Behaviour Expectations

We aim to create a safe, inclusive and enjoyable environment for all children.

Children are expected to behave respectfully towards staff, other children and the venue.

Unsafe, disruptive or aggressive behaviour may result in a parent or guardian being asked to collect their child early. In serious cases, future bookings may also be cancelled.

Illness

Children who are unwell or have a contagious illness within the previous 48 hours should not attend Strong Roots sessions.

Photography and Video

Photographs and videos may be taken during sessions for promotional and marketing purposes by Strong Roots and Love Rugby Festival.

Consent preferences provided during booking will always be respected.

Changes and Cancellations

Strong Roots reserves the right to make changes to session content, staffing or timings where necessary.

In the unlikely event of cancellation, parents and guardians will be contacted using the details provided at booking.

Food and Dietary Requirements

Parents and guardians must provide accurate information regarding allergies, intolerances and dietary requirements at the time of booking.

Whilst Strong Roots will take reasonable steps to accommodate dietary requirements and minimise risks, we cannot guarantee an allergen-free environment.

Parents and guardians remain responsible for ensuring that the information provided is accurate and up to date.

For holiday camps, packed lunches and snacks brought from home must not contain nuts.

Personal Belongings

Children should bring:

  • A refillable water bottle

  • Comfortable and named clothes you don't mind getting dirty (there will be a craft activity). We cannot be held responsible for lost or damaged/stained clothing.

  • Trainers or pumps suitable for dancing and movement activities

  • Long hair should be tied back

  • No jewellery permitted

  • For holiday camps and outdoor sessions:

    • Appropriate and named clothing including, where appropriate - sun cream, sun hat, rainproof clothing, hat, gloves etc.

  • For holiday camps only:

    • A packed lunch and a healthy snack. Packed lunches and snacks must not contain nuts or nut products. (Lunch, snacks and drinks are provided for HAF children).

  • For all other sessions - no snacks unless otherwise stated due to potential allergies.

Children should not bring:

  • Toys, money or valuables.

  • Strictly no phones or electronic devices permitted

Please ensure all belongings are clearly named. 

Strong Roots cannot accept responsibility for lost or damaged personal belongings.

Safeguarding

Strong Roots is committed to safeguarding and promoting the welfare of children.

All staff working at the workshops are appropriately vetted, DBS checked, safeguarding and first aid trained.

Emergency Medical Treatment

In the event of a medical emergency, Strong Roots staff may seek appropriate medical assistance and contact emergency services where necessary.

Agreement

By completing a booking, parents and guardians confirm that the information provided is accurate and that they agree to these Terms and Conditions.
